POSITION SUMMARY

The Ewing Marion Kauffman School is a free, public charter school serving 1000 students in 5th through 12th grades. Focused on student achievement and strong character, the Kauffman School’s mission is to support students in maximizing their opportunities for post-secondary success. The school serves a student population of which 87% qualify for free and reduced lunch and 90% identify as students of color. Students are accepted by a lottery that prioritizes the six highest-need zip codes within the district. More than 70% of our students identify as first in their families to attend college. From serving as certified doulas to attending graduate school to starting their own local small businesses, our alumni are shaping their post-secondary paths and we are incredibly proud of their determination and drive.

Reporting to the Operations Manager, the Office Coordinator will be responsible for coordinating the day-to-day logistics of the school’s front office. The Office Coordinator is, in many ways, the “face” of the school to families and visitors.  This is a service-oriented role, and the Office Coordinator should have strong interpersonal and communication skills, be detail-oriented, demonstrate empathy, be timely and reliable, and be able to manage multiple competing priorities at once.  This is a full-time, non-exempt position.







PRIMARY RESPONSIBILITIES 

 

Reception Duties

  • Administrative duties – manage school’s front office, including all communications and information storage systems, faxing/copying, email and phone communications, basic upkeep of school’s physical appearance, as well as basic security regarding admittance to the building
  • Serve as primary point of contact for the school’s families – communicate directly with families via phone and in person regarding a variety of issues, including: attendance, enrollment, transportation, food services, uniform purchases; serve as the initial support to urgently address first-hand any questions or concerns from families, with the goal of protecting families’ time and that of other school personnel
  • Support with coordinating all access to the building, including scheduled family meetings, unscheduled family visits and inquiries, vendor meetings, promotional and recruitment tours, classroom visits, and services to the school
  • Assist Administrative and Operations teams with projects, tasks and activities on an as-needed basis

 

Registrar and Student Records

  • Support with school enrollment process and ensure compliance with school, state, and federal rules, including collection and meticulous organization of student enrollment forms
  • Acquire and serve as primary caretaker of appropriate records and information for all enrolled students and employed staff, updating records as appropriate
  • Ensure accuracy of school data to assist the Operations team in fulfilling school’s federal and state compliance obligations tracking via Core Data and MOSIS systems
  • Manage data entry (attendance, payments) via the school’s student information systems (i.e. PowerSchool) and participate in appropriate trainings to improve system knowledge and efficiency

 

Operations Support

  • Sign-in tardy students, check their uniform, conduct safety checks, and ensure they have something to eat prior to escorting them to class
  • Provide daily updates to dismissal rosters based on absent students, students who leave school early, have transportation changes, etc.
  • Serve as liaison between school, transportation coordinator, and bus company when transportation changes are requested by parents
  • Provide support as needed for cash, invoice and credit card reconciliation
  • Play active role in supporting school functions

QUALIFICATIONS

  • BA/BS degree in related field preferred
  • Prior office coordination experience preferred
  • Proficiency in both English and Spanish is strongly preferred
  • Excellent communicator with a high level of personal integrity and professionalism when dealing with others
  • Commitment to maintain confidential and sensitive information, with respect to both school and student level data and internal staff members
  • Ability to multi-task with excellent time management skills
  • Ability to effectively prioritize work and meet deadlines; organized; ability to manage multiple assignments and follow assignments through to completion; ability to respond quickly to requests for information and assistance
  • Proficiency with office technology and demonstrated facility for learning new programs and applications quickly (Microsoft and Google platforms)
  • Work well in a collaborative, team-oriented environment
  • Able and willing to work full day (7:30-4:30) and during summer
